U21 Archives & Records Group
   
  Terms of Reference:

1. Definition

1.1 The Universitas 21 Archives and Records Group represents an open forum for Universitas 21 records managers and archivists to share experiences and ideas that lead to effective and efficient practices in information and records management in the University environment.

2. Membership

2.1 The Group is open to any staff from Universitas 21 institutions who are involved in (or are interested in being involved in) the development, delivery and support of programs and services pertaining to records management and archives (or related areas).

3. Reporting Structure

3.1 The Group will be administered by a ‘host’ University for a 12 month cycle. At the end of the 12 month cycle, the Group will nominate a new host for the upcoming 12 month cycle. The cycle will begin in June of each year.

3.2 The ‘host’ University will submit quarterly reports to the Universitas 21 Representative at the ‘host’ University. The Universitas 21 Representative will then report to the Universitas 21 Executive on the progress of the Group through the nominated channels.

4. Objectives

To provide a forum which:

4.1 Brings together staff from Universitas 21 institutions who are involved in (or interested in) records and archival management programs and services.

4.2 Facilitates the exchange of experiences and ideas that lead to effective and efficient practices in information and records management.

4.3 Promotes the records management and archives industry to Universitas 21 institutions and relevant stakeholders.

4.4 Provides a mechanism for members to participate in benchmarking activities.

4.5 Provides a mechanism for members to collaborate on investigations and initiatives that lead to effective and efficient information and records management practices.

5. Activities

5.1 Hold meetings in person where possible.

5.2 Participate in site visits where possible.

5.3 Maintain an email discussion list and web site.

6. Working Parties

6.1 Working Parties shall be set up to undertake specific tasks as required. Membership may be drawn from the Group or co-opted from outside the Group where relevant.
